What Happens When Prospects Reply
When a prospect responds to your Valley outreach, their reply appears in your Valley Inbox. This is your command center for managing all inbound engagement.
Where Replies Show Up
Every reply is automatically captured in your Inbox and organized into tabs:
Valley fetches responses from LinkedIn every 2 hours. If you're already connected with a prospect, webhooks may catch replies between those windows too. There can be a short delay between when a prospect replies on LinkedIn and when it appears in your Valley inbox.
Inbox - All new replies, auto-categorized by Valley
Approvals - AI-drafted responses waiting for your review
Scheduled - Messages queued to send
Sent - Complete outreach history
Archived - Completed or closed conversations
Valley's AI reads each reply and auto-categorizes it into one of three types:
Interested - Prospect showed enthusiasm, asked questions, or wants to learn more
Might Be Interested - Prospect is neutral, asking questions, hasn't said no but hasn't committed
Not Interested - Prospect declined, said they're not a fit, or asked to stop
Response Time Matters
Faster replies convert more prospects to meetings. The longer you wait, the more likely they cool off or move on. Respond during business hours as quickly as you can - same day at minimum.
Prospects who reply to your outreach are actively engaged. Every hour you wait, they get colder. Make checking your Valley inbox part of your daily routine.
How to Respond by Category
Interested Replies
These are your warmest leads. Don't over-sell and kill the momentum.
What they say:
"Tell me more about this"
"This could be interesting, let's chat"
"How does this work?"
How to respond:
Acknowledge their interest in one line
Add one line of relevant value (reference their role, company, or situation)
Include your scheduling link or propose 2-3 specific times
Keep it to 2-3 sentences total
Example:
"Great to hear! Based on what I've seen at [their company], I think there's a strong fit. Here's my calendar - grab any time that works: [link]"
They already said yes. Stop selling. Move them to a call. The #1 mistake is responding to "tell me more" with a wall of text about your product. Don't do it.
Might Be Interested (Questions)
They're not saying no - they're evaluating. This is a win.
What they ask:
"What does this cost?"
"How is this different from [competitor]?"
"Can you send more details?"
How to respond:
Answer their specific question directly in one line
Don't dump a feature list - answer the question, then pivot to a call
Suggest a quick call where you can walk through details properly
Example:
"Great question. Pricing depends on your setup, but most teams our size pay around $X/month. Easiest to walk through on a quick call - how's Thursday at 2pm?"
Maybe Later Replies
Not a no. Timing is the issue, not fit. These are pipeline.
What they say:
"Not the right time right now"
"Ask me in 3 months"
"Budget cycle is next quarter"
How to respond:
Respect their timeline completely
Confirm you'll follow up at the specific time they mentioned
Keep it brief and professional
Actually follow up when they said (set a personal reminder)
Example:
"Totally understand - never good to force timing. I'll circle back after Q2. If anything changes before then, just let me know."
Valley doesn't have a built-in follow-up reminder feature for specific dates. Set a personal calendar reminder or CRM task to follow up when the prospect said to.
Not Interested Replies
Handle with grace and compliance.
What they say:
"This isn't relevant to us"
"Please stop reaching out"
"We use a different solution"
How to respond:
Thank them for letting you know
Confirm you're removing them
Do NOT try to change their mind
Hit Stop Outreach immediately (red trash can icon in inbox)
Example:
"Thanks for letting me know. All good - I'll remove you from our list. Best of luck!"
When someone says stop, hit Stop Outreach immediately. This adds them to DNC workspace-wide. Do not just remove them from one campaign - they'll get picked up by another. One push after a "no" = spam. One "no" and you're gone = professional.
The Reply to Meeting Framework
Every response you send should follow three steps:
Step 1: Acknowledge. Show them you read their reply. One line.
Step 2: One line of value. Reference their specific role, company, or situation. Not a feature list - one relevant insight.
Step 3: Scheduling link or times. Make it dead simple to say yes. Calendar link or 2-3 specific time slots.
Three steps, 2-3 sentences, done. Anything longer and you lose them.
Common Mistakes
Wall of text after a "yes" - They said "tell me more" so you send your entire pitch, case studies, and pricing. They already said yes. Move them to a call.
Slow response - Replying the next day instead of the same day. They've moved on.
Pushing after "maybe later" - They said "not the right time" so you push back with "actually, now is perfect because..." You'll get blocked.
Not removing people who say stop - They say "please remove me" and you follow up 3 weeks later. This is a compliance issue. Use Stop Outreach immediately.
Forgetting to follow up on "maybe later" - They said "ask me in 3 months" and you never do. This is pipeline you're leaving on the table. Set a personal reminder.
Handoff to Sales
If you're an SDR, hand qualified replies to your AEs:
Hand off: Interested replies where you've set a meeting, and Might Be Interested replies where the prospect is still engaged.
Don't hand off: Not Interested (waste of AE time) or prospects who said "maybe later" before the follow-up date.
Use the Human Handover tag to flag prospects for your AE. This stops Valley's automation and marks the prospect for personal attention. Coordinate the actual handoff through your team's process (Slack, email, etc.).
HubSpot Integration
Prospect data syncs to HubSpot automatically if the integration is enabled (Settings > Integrations > HubSpot). Interest status, connection status, and contact details write to HubSpot. Webhooks can also push reply notifications to other tools.
Tracking Reply Performance
Monitor in Dashboard > Campaigns:
Reply Rate - 5-15% for cold lists, 15-30% for warm lists
Interested Rate - ~2% average of all messages sent
Meeting Conversion - Track manually using Meeting Scheduled tag. Aim for 30%+ of interested replies converting to meetings.
If reply rate is healthy but meetings aren't booking, the issue is usually response speed or weak follow-up - not your Valley setup.
